Swing Rotations Between Multiple Venues

So, I'm currently doing some corporate Stage Management.

The place I'm working has two 'Santa' events. One is an interactive meeting with Santa, Mrs. Claus, and some elves at his 'workshop', and the other is a more traditional short play done in 'dinner theatre' style.

Our Mrs. Claus and Elf swings go between venues, and they are required to swing both positions so that everyone gets a break. That means that the SM of each venue will drive them back and forth in a golf cart.

Now, I can't seem to find a good document to illustrate my ins and outs. There are five Santas that rotate out every hour, and two elves, as well as two Mrs. Clauses, who also rotates between venues.

I've tried all sorts of crazy excel templates, but none of them really help organize it in a way that makes sense.

Any tips?

I don't fully understand what you're looking for- a daily schedule? If it's supposed to be a schedule for a single day, would something like this work? (I don't fully understand the rotation system or order so this is just an approximation.)

1:00p Performance
Venue A- Santa1, Mrs. Claus1, Elf1
Venue B- Santa2, Mrs. Claus2, Elf2
BREAK- Santa3/4/5, Mrs. Claus SWING, Elf SWING

1:50p TRAVEL- Mrs. Claus SWING, Elf SWING to Venue 1 (SM-B driving)
1:55p TRAVEL- Mrs. Claus1, Elf1 to Venue 2 (SM-B driving)

2:00p Performance
Venue A- Santa3, Mrs. Claus SWING, Elf SWING
Venue B- Santa4, Mrs. Claus1, Elf1
BREAK- Santa1/2/5, Mrs. Claus2, Elf2

2:50p TRAVEL- Mrs. Claus SWING, Elf SWING to Venue 2 (SM-A driving)
2:55p TRAVEL- Mrs. Claus2, Elf2 to Venue 1 (SM-A driving)

3:00p Performance
Venue A- Santa5, Mrs. Claus2, Elf2
Venue B- Santa1, Mrs. Claus SWING, Elf SWING
BREAK- Santa2/3/4, Mrs. Claus1, Elf1

See, this is why computer programs are less valuable than pencil, paper and common sense. Just build a grid/spreadsheet with the time frames you need, then play jigsaw puzzle and you will be done!

(Maribeth's system is basically just that)
