Tools of the Trade / Touring truck kits

Hi all, For those of you who tour regularly especially if you tour via van or bus what do you find indispensable to have in their with you? I'm trying to standardize the "truck kits" I send out on the road with my shows, any input is greatly appreciated!!

Job Description:
The Tour and Company Manager is responsible for all travel arrangements, planning and staff coordination, record keeping, scheduling, data management as well as implementing changes based on feedback related to Roseneath Theatre’s touring activities each season. Working closely with the tour’s Stage Manager, the Tour and Company Manager will arrange for and coordinate all travel and accommodation for the touring productions. In addition, the employee in this position provides support to the Managing Director by assisting with the collection of granting statistics, show reports, records of per diem/ payroll, and overtime budgets for each production, ensuring that everything remains on budget.

The Tour and Company Manager is the designated first responder to field any scheduling problems that arise, or questions and concerns in relation to the touring staff, lodgings, and performance venues. During active tours, the Tour and Company Manager will be on call 24/7 for this purpose.

Responsibilities:

Travel Coordination:
Travel Coordination refers to all travel arrangements made throughout both the planning and active tour stages of Roseneath Theatre productions touring in Ontario as well as across Canada and the United States.
Administration:
The Tour and Company Manager is responsible for certain administrative duties with regard to the specific tours of the season. This shall include dealing with contracts, show reports, financial records, and mail.
Financial Management:
The Tour and Company Manager has financial responsibility, as it relates to the tours and affiliated staff. Ensuring that touring costs fall within the given budgetary restrictions, and all staff are properly compensated as designated by Equity, and the ITA.
Additional Responsibilities:
The following duties will be performed on a case-by-case basis: assisting with creation of School and Theatre technical riders, writing and maintaining training documents. Assisting the Production Manager with duties during pre-production, archival videos, Roseneath’s Annual Fundraisers, etc.

Formal Education, Qualifications, and Key Competencies Required:
Bachelor of Fine Arts-Theatre Production/MBA or equivalent, and 3-5 years experience in Theatre Production or professional performing arts, preferably in an administrative capacity.
● Strong sense of initiative and problem-solving skills required.
● Availability to manage the responsibilities of the position on an on-call basis during certain weeks of the touring season.
● Knowledge of union and associations relating to theatre production and respective union contracts.
● Ability to work independently, and also manage the team of touring staff.
● Develop methods to disseminate information about the tour to the appropriate staff in an organized, accessible fashion.
● Highly organized nature, with a keen sense of the importance of updating schedules and records.
● Knowledge of Microsoft Office programs required as well as some familiarity with Sumac, or other Customer Relationship Management database software an asset.

Self-Promotion / New Ballet in NYC in August

Hi all,
  I am working on a new ballet by Choreographer Claudia Schreier. Its an evening of her works including several world premieres. The company features dancers from Pennsylvania Ballet, New York City Ballet, Dance Theatre of Harlem, Atlantic Ballet Theatre of Canada and others! I'm so excited!  We do need help though as of right now our choreographer is paying everyone out of pocket with no potential for profit as the producer is taking all ticket sales so please help if you can.

  I'm looking for summer work in ballet and was about to write a prospect letter to send out to some companies I'm interested in and realized....how do I write one? Anyone have positive experience sending one that may have suggestions? I'm thinking a quick work experience summary and a little bit of why I want to work with you?

Hi all,

  As we reach the end of the dance season at my company(we've got approx 6 weeks left and no new shows just running one we've been doing all season) I'm starting to prep for next season. We will be bringing in 3 new dancers and I was looking for help/input on what to include in a dancer intro package. They would be moving here from at the very least other parts of the country and not unlikely other parts of the world and so I want them to feel welcomed and informed about the company practices and where we live but have no idea where to start realistically so...help?

Stage Management: Other / Rehearsal DVDs becoming obsolete

Hi all, so I am running into a problem that I am sure I am not the first to run into so I wanted to see what other people have done/thought of. As a ballet SM a big part of what I do is maintain a DVD library of past performances so that dancers can take a copy home to review their parts prior to rehearsal. DVDs are great, they are physical copies I can lock so they can't be ripped and people have to give them back when they are done. Unfortunately the physical medium is not working for most of my dancers who have laptops without DVD drives or use tablets. USB keys work for people with laptops but half of our dancers don't have laptops either. I have thought of private Youtube links but whats to stop it being shared? Thoughts?

Stage Management: Other / Help Organizing costumes...

I apologize if this is in the wrong area! I am the new CSM of a ballet company who has no wardrobe mistress. I will pause and let that sink in for a second. Are we all back? We tour 5 different shows per season plus have a youth program which mounts two full musicals per year. We have a lot of costume items that bounce back and forth between shows as well (white shirts, mens trousers etc). I am trying to get our costume situation organized more efficiently, right now it is more or less by show with accessories in boxes or tupperware all over the warehouse. Does anyone have ANY suggestions what so ever on getting this set up more logically? Right now I have to try to sift through all the shows to put up a new one to see where blank costume item was last used. Also I have just come on board and no costume inventory is left from previous shows before the inventory I've been plugging away at with costumes used this season. We also have no shop so I have 2 6' wide closets and some warehouse space with pipes hung over head for costume storage.
  ANY suggestions would be super helpful I'm sure as I am very much NOT a costume person!

Employment / 2 volunteer ASMs needed in Canada

Hi all,
  I'm looking for 2 volunteer ASMs for A Christmas Carol in Moncton New Brunswick. The show is a joint venture with the Atlantic Ballet and its youth education wing so its a mix of professional and community members. The show runs Dec 12 & 13 and Load in is Dec 6&7 with tech running 6-9pm monday-friday of the week of the show. It's a big show but would be great opportunity to get a little more experience if you are a student SM and a reference letter on letterhead would be provided if you do a good job!

I'm back with more questions!

 So we have a show that is moderately set heavy, not a large set but a lot of specific moves which the dancers are required to do. They are struggling to say the least. Everything is spiked and we rehearse the bits a lot but is there anything I can do to help them with this? My plan is to do a little warm up exercise before every rehearsal where I basically drill them (they are triangular columns with a red side a painted side and a mirror side on casters) making them make the different formations or do a different side with no for warning just to get them more familiar with moving the actual units efficiently.

Ideas? oh ya and we only have them until Oct 7 as we have to ship them to germany....

Hi Hivemind,

  So I am look for suggestions/general help with a budget issue. I am trying to create a budgeting system for a musical coming up where I can keep the purse strings tight. A bit of background:
  This director has worked for us before and just does not listen to budgets. Like at all. Our current approved budget is a set amount and what he claims he needs is almost double. The usual way of expensing here is reimbursement which has caused problems, namely him spending money out of pocket without approval and then expecting to get reimbursed for it and getting upset when he isn't (he was out of pocket 3500$ for unapproved purchases last season). I need a way that I can basically prevent him from spending money a)we don't have or b) on things we don't need without me having to buy everything for him as I have 3 other shows to rehearse and perform in the time he has to stage and rehearse this one.
  I am tempted to just do weekly petty cash up to $200 and he only gets more after receipts are submitted and reviewed and any large ticket items I need to be the one doing the purchasing?

So help?

Stage Management: Other / Festival Stage Management

So looking for a bit of advice, I am PMing a multidisciplinary performance festival and have to draft up a list of questions that the companies our in house stage manager need to answer for her to start getting a scope of what their needs are (most are fairly tech-illiterate). Any suggestions? (Besides the obvious send us a script or video of rehearsal!)

Any help/suggestions would be much appreciated! (Also my SM is not local and no companies have requested any rehearsals so she will not be present during any rehearsals just tech and performances!)

Employment / Staying competetive in multiple markets

So, a situation recently presented itself to me to do a show in Montreal. I live in the Toronto area and have an apartment with my partner and a lease and dog and the whole thing. I didn't end up doing it because even though I was most qualified the living expenses offset my being the most suitable candidate for the position. I was wondering if anyone has found this and a solution. I can't just give up my apartment to move to a different city for 3 weeks but I want to make my location a non issue to potential employers. I was thinking working out of a hostel or something of that nature...thoughts?

Just got a pair of the Vibram 5 fingers shoes. Wondering if anyone has any experience wearing them working backstage or just in everyday life. I've seen some techs wearing them but curious if they work for SMs as well!!
